Director of the General Manager's Office

Provide direct administrative and executive support to the General Manager, organize the office, follow correspondence, assignments, meetings and decisions, and coordinate effectively with departments, offices and sections.
Duties and responsibilities
- Organize and manage the General Manager's agenda, appointments and meetings.
- Prepare correspondence, letters and administrative circulars issued by the office.
- Receive, review, classify and present incoming correspondence, reports and transactions by priority.
- Follow up the General Manager's decisions, directions and assignments with the relevant departments.
- Prepare meeting minutes, document decisions and recommendations, and track their implementation.
- Coordinate between the office and departments, offices and programs.
- Prepare summaries and periodic reports on matters presented to the General Manager.
- Review technical and administrative reports and proposals before they are presented, and prepare executive summaries and points that need a decision or follow-up.
- Follow relations and correspondence with partners, donors and official bodies in direct coordination with the General Manager and the relevant departments.
- Help prepare presentations and periodic reports for senior management and the board.
- Organize, file and archive the office's documents and correspondence so they stay confidential and easy to retrieve.
- Track appointments and administrative deadlines and make sure work is completed on time.
- Protect the confidentiality of information and documents accessed through the role.
- Carry out any other related tasks assigned by the General Manager.
Education and experience
- Bachelor's degree in engineering, business administration, public administration, executive secretarial studies, or a related field. An engineering background is an advantage because of the files and projects the office follows.
- At least 4 years in executive administration or senior-office management; 5 years or more is preferred.
Skills and abilities
- Excellent ability to prepare official correspondence and reports.
- Proficiency in Microsoft Office, especially Word, Excel and Outlook.
- Strong organization, follow-up, time management and prioritization.
- Excellent communication and coordination.
- Ability to work under pressure and handle several tasks at once.
- A high level of confidentiality, integrity and professionalism.
- Actual experience in a general manager, executive director or senior-management office is required.
- Ability to manage agendas, meetings, priorities and coordination across departments.
- Advanced English, including preparing and reviewing professional correspondence in English.
